Hearts On Fire, a premium diamond jewelry brand, is seeking an Operations Executive, APAC to be part of the global team headquartered in Hong Kong.
About the Job
Reporting to the President, Asia Pacific, the Operations Executive APAC will be responsible to support the implementation of the region’s Commercial and Marketing key projects initiatives, in driving sales excellence, customer engagement and enhancing the brand presence in the APAC markets as well as providing administrative support to the APAC teams. This person will collaborate closely with cross-functional teams, seamless execution of brand projects and achieving key objectives.
What You Will Own
Department administration
• Provide comprehensive administrative support to APAC Commercial and Marketing departments, ensuring efficient operations.
• Handle ordering and logistics for APAC Commercial non valuable items (VM, Retail Tools, Closing collaterals)
• Administration of the APAC Commercial and Marketing budget
• Manage vendor creation and follow up on the process with the related team member.
• Support team with submission and processing of invoices.
• Develop and maintain a filing system, update and maintain policies and procedures.
• Maintain accurate and detailed calendar, coordinate department meeting schedules and invites, and taking minutes.
• Manage travel arrangements and reservations, assist in all travel and expenses claims and submit in timely manner.
• Track and reconcile monthly expenses in a timely manner.
• Provide administrative and special project support and perform any other relevant duties as assigned.
Projects administration
• Support the commercial projects and strategic initiatives for new product launches, seasonal collections, and brand campaigns.
• Monitor project progress and execution, ensure all deliverables are on time.
• Support project implementation on a global scale, work with regional teams to oversee the progress and successful execution.
• Get alignment with the management team to ensure project management is focused on the strategic topics and key priorities.
• Collaborate closely with corporate and business partner team including internal stakeholders e.g. marketing, product, merchandising, store VM and development, frontline team, and external vendor e.g. agencies.
• Prepare communication on project updates, address concerns, and manage expectations.
• Manage project budgets and track costs
• Maintain structured presentations illustrating key project issues, new insights and recommendations.
Who Will Thrive
• Bachelor’s Degree or above.
• At least 3 years of relevant experience.
• Proven track record of project administration, preferably within the retail or luxury industry.
• Familiarity with commercial strategies and initiatives in a dynamic team setup.
• Great team player with excellent communication and negotiation skills and ability to interact with stakeholders at all levels in a professional manner.
• Strong analytical abilities and problem-solving mindset.
• Fluency in both spoken and written English, Cantonese and Mandarin.
