The role is a fixed-term contract until end of April 2025, with the possibility to be transitioned into a permanent contract.
This is an onsite position, the candidate needs to be eligible to work in HK.
We are seeking a dynamic and detail-oriented Associate Manager to join our VIP Relations team for Art Basel Hong Kong. This role is integral to the successful planning of VIP-related activities for our shows.
Your Responsibilities:
VIP Communications and Strategy:
• Oversee VIP communications for Art Basel Hong Kong, including newsletters, VIP guides etc.
• Develop and implement the Hong Kong VIP communication strategy and timeline in collaboration with regional and global teams
• Provide support to online VIP enquiries across all Art Basel shows
Digital Support Project Management:
• Serve as the primary point of contact for digital support across all Art Basel shows globally
• Manage digital support providers, conduct team training, troubleshoot issues, and oversee post-show reporting
VIP Benefits and Program Management:
• Oversee VIP benefits for Art Basel Hong Kong, including planning outreach, monitoring benefit usage, and post-show reporting
• Support the development and execution of VIP program outreach initiatives
Event and administrative support:
• Assist in VIP operations leading up to the show, including event planning, program coordination, and guest list management
• Manage pre-show and show event logistics, including RSVP tracking, check-in processes, and post-event reporting
• CRM project management and day-to-day VIP database maintenance
• Assist in VIP designations and registrations
• Offer general administrative assistance, including meeting coordination, minute-taking, and event calendar management
• Provide assistance with on-site operations, including back office and front desk support
Special Projects:
• Oversee and develop VIP cultivation special projects with in-depth research, in collaboration with the Senior Manager and VIP team; execute exclusive programs with other teams
Your Profile:
• Bachelor's degree required; background in cultural management or art history is advantageous but not mandatory
• Minimum 4 years of relevant work experience
• Fluency in English and Chinese (both written and spoken) is essential; proficiency in additional languages is a plus
• Strong project management and problem-solving skills
• Proficiency in CRM systems and Microsoft Office Suite

• Excellent attention to detail; copy editing experience is highly valued
• Ability to work effectively under pressure and prioritize tasks in a fast-paced environment
• Adaptable and open-minded team player with excellent collaboration and interpersonal skills.

• Passion for art and familiarity with the global art market
