We currently have a vacancy for a full-time Project Coordinator within our rapidly growing Hong Kong office in Central.
The Project Coordinator will be responsible for assisting the Project Manager and the wider team in managing projects as well as coordinating day-to-day running of the office. The successful applicant will serve as the primary administrative point of liaison with our clients as well as candidates, ensuring that our search processes run smoothly and on schedule.
The role requires a flexible and energetic multi-tasker who is keen to support a fast-paced, busy team and to learn and develop project management skills and experience. Excellent attention to detail, time management and prioritisation skills, initiative and a strong customer service ethos, as well as a strong appreciation of the importance of punctuality, responsibility, discretion and integrity, are all key attributes needed to carry out this role successfully.
Your focus will primarily be on internal delivery, with some contact with clients and candidates where appropriate, with a view of developing over time the skills required to be a successful Project Manager.
This role requires willingness to help and ability to anticipate support where it is required by the Project Management Team, as well as some wider support in the firm including front of house and other ad hoc duties.
Although not solely responsible for a project portfolio, you will be involved in a range of tasks across a variety of high-level executive searches, supporting the project management teams across a number of practice groups (Social Impact & Environment; Research, Technology & Innovation; Schools; Global Higher Education).
Main duties include:
• General administrative support, and managing complex diary arrangements efficiently for the HK team, including organisation of meetings, and logistical support;
• Supporting the Project Manager and the wider team in managing projects;
• Data entry and database management;
• Assist with purchasing, logging project costs, invoicing and expense reconciliation;
• Documentation and presentation preparation, proofing & dissemination of relevant materials prior to meetings;
• General office administration duties, including but not limited to simple bookkeeping, organising mail, couriers, office supplies, and various vendor management;
• Supporting the team in ad hoc projects as required (internal planning / timetables and diary management);
• Support with the final interview process of projects – including assisting candidates in arranging travel and accommodation, arranging reference calls, and any additional candidate assessments.
Person Specification:
• degree educated;
• fresh graduates are welcome. With working experience will be an advantage;
• excellent written and verbal communication skills in English and Chinese (both Mandarin and Cantonese);
• the ability to multi-task and balance conflicting priorities;
• high level of computer literacy (Word, Excel, Outlook, Acrobat and PowerPoint);
• solutions-focused and results-driven and thrive in a challenging time-sensitive environment whilst remaining calm under pressure and handling all situations appropriately with care and integrity;
• highly organised with outstanding attention to detail and a commitment to delivering a high level of service, while working at high volume and high pace;
• positive, curious, enthusiastic and a great team player with an openness to work collaboratively and to contribute to the development of a growing team, as well as highly capable of working independently;
• flexible mindset, strong work ethic, demonstrated initiative and ability to think outside the box;
• strong appreciation and understanding of the importance of punctuality, responsibility and discretion required for this role;
• A creative and flexible approach to project coordination and problem-solving;
• A sense of calm and control in challenging situations;
The role requires interaction with many people both within and external to Perrett Laver, and thus a truly professional attitude and a collegiate approach are required in order to excel in performing the duties outlined.
